How to Help Your End Users Love Teams

Let’s face it: end users can be pretty stuck in their ways. We would understand if you have nightmares of your support queue turning to chaos during the first days and weeks of launching a new application.

During these times of transition, it’s important to remember the basics of change management. Delivering the right messages, identifying champions in each department and developing an effective training program are all key events that’ll drive the success of Microsoft Teams in your organization.

It’s also crucial to provide relatable examples of how end users can best utilize the program in order to encourage them to get familiar with it. Here, we’ve rounded up ways that members throughout your organization can begin making use of Microsoft Teams.

Sales and Marketing

These two departments oftentimes work very closely in an organization. Feedback from Sales is important to inform future Marketing needs, and Marketing must quickly and easily provide necessary assets to Sales.

A day in the life: A new product offering has just been released by the product management team. Marketing uploads the new collateral to the Sales + Marketing Teams group and posts a notification in the Conversation tab that it’s now available. All members can see and access the new assets.

Additionally, Marketing created a new tab that has the upcoming blog topic schedule so that Sales can easily reference and share published content with prospects and clients.

Within this Team, there’s also a channel for posting competitive insights and market updates, to which both Sales and Marketing can contribute.

Globally-dispersed teams

It can be difficult to break the ice and get to know colleagues when you never meet face-to-face. Yet, that personal relationship has been shown to have such immense benefits on work culture, productivity and overall employee satisfaction. A user is less inclined to simply IM a coworker across the pond without a reason, but in Teams, there’s a shared sense of community.

A day in the life: Someone sitting in the UK office posts in the “Off-topic” channel of the Product Development Team that they’re participating in a charity 10K that weekend, and if anyone wants to sponsor them, they can use a link to donate. A colleague in the Dutch offices comments that they also completed one recently, and added a link to view pictures.

With this shared interest, they strike up a conversation and have greater rapport not just in off-topic conversations, but when working together on projects.

Project-based cross-department groups

Not every Team lives forever. As a communication and collaboration platform, Teams is the perfect place to gather users from different departments as you work on a company-wide project.

A day in the life: Instead of emailing a link to a document and hoping you added the right distribution lists or individuals to the correspondence, you can upload it to Teams, where it’s available for all users who have joined that particular Team.

Similarly, users never have to worry about forgetting to add someone to a meeting again. Public meetings hosted in that Team are available for any member of the Team to join, with or without a formal invitation, ensuring someone is never forgotten from the invite.

Maybe another team member has missed a week of work due to illness. The persistent chat feature in Teams allows them to catch right up in context when they return.

Sharing industry updates and best practices across subsidiaries

Where do users share interesting articles they come across that are relevant to your particular sector? (Please don’t say they email it.) Or how do they share success stories or challenges? Teams is an ideal platform for this type of communication as it can be passively absorbed when time allows, without cluttering the inbox of every other user.

A day in the life: An engineer comes across a technical article that details how to launch a new tool in a shorter amount of time. That particular workaround, until now, has only been applicable in the APAC and Americas region. However, European regulations have changed and engineers there can now utilize this process. Posting a link to the article, the engineer alerts colleagues in Europe and offers to host a call where they can discuss best practices for this new system.
